Parkinson's law is the adage that
 "work expands so as to fill the time available for its completion".

1. Break Down Your Tasks and Deadlines
Parkinson’s Law is always worse enormous tasks with big tasks that have far-away deadlines. 
The best way to fix this is, breaking those big, monolithic tasks into many smaller, bite-sized tasks, along with several intermediate deadlines to complete them.

Create mini-sprints to deadlines along the way - to keep the urgency going.
(I'm going to have the bedroom clutter free by 1pm), for example.

2. Know What ‘Done’ Means
Define it clearly.
The more of a perfectionist you are, the most likely you’re a victim of Parkinson’s Law: there’s always one more little thing to add, one little refinement to be made, isn’t there?

I am literally the WORST for this, the irony of writing about this isn't lost on me! So I particularly watch out for this one.

We all want to do a thing well - but knowing where to draw the line means we don’t spend a lot of time overdoing it as we discussed in the Minimum Effective Dose

3. Don't multitask
Most of the time, Parkinson’s Law kicks in when we’re doing too much stuff at the same time: our days become a jumble of tasks when hardly any ever gets completely finished. And, with the huge amount of distractions that tend to creep in, it only gets worse.

To avoid Parkinson’s Law’s effects and finish tasks sooner, we must work on them one at a time, focused and with as few distractions as possible.

Multitasking means everything is done LESS efficiency and ultimately takes you longer.

4. Challenge Yourself
When you have a tight time limit or deadline, it forces your brain to work out ways to get it done in the time available.

So reduce the time you think it will take by just a little, to keep the momentum going.

5. Create Incentives to Finish Early
Reward yourself for finishing early and your brain will associate that success with good feelings.
If you start on a new piece of work, your brain will learn that too.
Have something lovely lined up if you meet your deadline, so your days are filled with both productivity and fun!

6. Know What’s Next
Lastly, something that happens too often is hanging on too long to a task solely because we don’t know exactly what to do next.

Planning is often harder than actually carrying out the tasks, so we can dawdle a little in the safe space of 'knowing what we're doing'

When you know what your Most Important Tasks are for each day - you will feel much more happy to finish promptly - and move on.

Start to think about the time you normally take for completing tasks - even setting timers to find out.  Then you can start to work with those time scales and see your free time and efficiency ramp up!

Scheduling.

We looked briefly at a simplified version of the Eisenhower Matrix in the Procrastination Video.

Let's drill down and make it practical.

Many of you now are at the stage that;

You have a list of actions that you want to implement.
You know the kinds of changes you want to make

It's feels like you've tipped a 1000 piece jigsaw onto the table and its impossible to know where to start.

So this is where are going to START looking at how.

Please don't STRESS about this.
This is a trial run for Unit 4 when you are going to create your schedules.

Why the To-Do list is a fundamentally flawed concept.
Time Management studies often find that up to 40% of the typical to-do list - is never completed.

Your to-do list will be a combination of the things you NEED to get done each week, the things you WANT to get done for the near future and the things you HOPE to get done towards your long term goals.

Things we want and hope for tend to get bumped when the things we feel as though NEED to do is overwhelming and impossible by itself.

This is a vicious circle that leads to overwhelm and more of those SAD faces,


How to hack your To-Do list
(or actually make it 10 times more possible to achieve)

Start with a little more data gathering...

1. Where are your replications and context switches?

Identify the things you were replicating on your time audit (i.e. the things that would have been more efficiently done in 'one swoop' rather than in several chunks throughout the week).

Context switching is what happens when you swap from one thing to another - and take a little time to get back 'up to speed' with what you were doing.
This adds up to serious amounts of wasted time - especially if these things involve extra journeys to Tesco.

Planning ALL your meals in advance,
Chopping ALL your veg for the week at once.
Vacuuming the ENTIRE house, (rather than getting the hoover out, unravelling it, picking up debris, actually vacuuming a room or two, wrapping the cable up - and putting it back in the cupboard)Going through ALL your correspondence once a day and planning for that to happen - will free up more time than you can imaging.


2. Bridge Model Results
The things your Bridge Model has told you you need to let go of entirely (SAD AND MEH faces) and you want more of (those HAPPY FACES), are going to play a big part in what goes into your New-Improved 'Better than a to-do' list.

Minimise and mitigate those Sad faces (we will carry on with that process below) and keep using a bridge model process taking emotion out of the situation and use logic to solve the sticking points.

This will be an ongoing - preferably weekly process.

3. 
Time Boxing
 

Putting things-to-do on a list feels as though it frees your mind.  
But what's more useful is what you do with it. A list is useless without a strategy for getting things done.  As you add each task to the Matrix you must include how long you think it will take.  This is vital for your scheduling and is actually the key to getting it all achieved and probably the number one Time Mastery Linchpin..
Try limiting yourself to no more than eight tasks per quadrant. Before adding another one, complete the most important one first. Remember: It is not about collecting but finishing tasks.  Have 3 tasks that you WILL complete today from your DO FIRST list.
You should always maintain only one list for both business and private tasks. That way you will never be able to complain about not having done anything for your family or yourself at the end of the day. 
Our suggestion is that you have a minimum of 1 thing for you, and one thing for your relationships on your daily MIT
 
1 thing for long term plans... (learning, ideas, brainstorm)
Do not let you or others distract you. Do not let others define your priority. Plan in the morning, then work on your stuff. And in the end, enjoy the feeling of completion.
Finally, try not to procrastinate that much. Not even by over-managing your to-dos.

Scheduling Tips

A filthy Elephant is a phrase that we have coined!
You've heard of Elephant in the room - that thing that needs to be said... the big issue - that no-one is addressing.

The filthy elephant is the same, but in this case - it's the deal breaker with regards to cleaning, chores or general BIG job or task - that once dealt with, will make day-to-day life so much smoother and easier.

If it's the GRAND declutter.
If it's the biting the bullet - realising your personal hourly rate is actually way higher than getting outsourced help such as a cleaner, au-pair, or even a conversation with the family about having them NOT treat you as hired help - then it's the Filthy Elephant.

If you are married, I am sure the marriage contract wasn't for the role of cleaning up after someone's mess that just can't be bothered to fix - even if you are not going out to do paid work - although family life always will create some of that.

Don't mean to stir up a hornet's nest but if you need someone in your corner or a cheerleader - we are happy to be that.

You deserve to be treated with respect, and even if the bulk of household tasks fall to you because of the way things are organised - there really is no reason that people should not clean up after themselves or make that task harder.

Look at the list of age-related tasks that children can manage.
You are doing them a service by understanding that being part of a family means that you ALL pull your weight.
You are preparing them for adult life and a family should be like a well-oiled machine with everyone playing their part so things run smoothly.

Adults in the home shouldn't be creating any more drudgery for you to wade through - just because they've been to a workplace (maybe one that is clean and tidy and with a well stocked canteen of already cooked food!)

This is just a matter of respect.
We train our little boys to be excellent men and husbands.
We train our little girls to be strong women with every opportunity available to them and to be respected as such.

Children model what they see and rise is expected of them - not what we tell them.
Show them what kind of adults you hope for them.

If there are no children in the home, then we really must be a true partnership - it kind of doesn't matter who does what, as long as it's fair.

If this is not how things at the moment, the change might be uncomfortable.

But if it's something that needs to be changed for the long term then it's worth considering if that is a filthy elephant worth cleaning up.

It might be a case of sitting in the discomfort of a difficult conversation or family meeting.

And if it is - our advice would always be, to stick to the facts, be organised and calm, and with the outcome in mind.

Action.
Have a think.
Rather than reacting, plan for how you might approach things if you need to.
